Purchasing Manager (Project Management)



Job Summary: The Purchasing Manager plays a crucial role in managing the procurement and supply chain activities for the landscaping business. This position requires strong analytical skills, excellent negotiation abilities, and a deep understanding of vendor management and inventory control. The Purchasing Manager is responsible for sourcing and procuring materials, equipment, and services required for landscaping operations, ensuring timely and cost-effective procurement, and maintaining good supplier relationships. The ideal candidate will have a proven track record in purchasing, a strong attention to detail, and the ability to optimize procurement processes.

Responsibilities:
Procurement Strategy and Vendor Management:Develop and execute procurement strategies to ensure timely availability of materials, equipment, and services at competitive prices.Identify and evaluate potential suppliers, conducting supplier audits, and negotiating favorable terms and conditions.Establish and maintain strong relationships with suppliers, fostering collaboration, and resolving any issues or disputes.Monitor supplier performance, including quality, delivery, and responsiveness, and take corrective actions when necessary.
Purchase Order Management and Documentation:Review purchase requisitions, ensuring accuracy and compliance with procurement policies and budgetary considerations.Prepare and issue purchase orders, ensuring timely delivery and adherence to agreed-upon terms and conditions.Coordinate with internal stakeholders, such as operations and finance, to ensure proper documentation, invoicing, and payment processing.Maintain accurate records of procurement activities, including contracts, purchase orders, and supplier information.
Price and Contract Negotiation:Conduct price negotiations with suppliers to secure competitive pricing and favorable terms.Analyze market trends, perform cost-benefit analysis, and seek opportunities for cost savings and value optimization.Collaborate with the finance department to analyze and forecast procurement costs and budgetary requirements.Negotiate and manage contracts with suppliers, ensuring compliance, risk mitigation, and continuous improvement.
Inventory Control and Demand Planning:Monitor and analyze inventory levels to ensure optimal stock levels, minimizing stockouts and excess inventory.Develop and implement inventory control procedures, including reorder points, lead times, and stock rotation strategies.Collaborate with the operations team to forecast demand and plan procurement activities accordingly.Identify opportunities for inventory optimization, such as vendor-managed inventory or just-in-time inventory systems.
Supplier Performance and Quality Management:Establish key performance indicators (KPIs) for suppliers and regularly evaluate their performance against defined metrics.Conduct supplier audits, ensuring compliance with quality standards, ethical practices, and industry regulations.Collaborate with the quality control team to address any supplier-related quality issues and implement corrective actions.Continuously seek opportunities to improve supplier performance, quality, and overall value.
Procurement Process Improvement:Identify areas for process improvement within the procurement function, such as streamlining processes, implementing automation, or leveraging technology.Develop and implement procurement policies and procedures, ensuring compliance with internal controls and regulatory requirements.Monitor industry trends and best practices, implementing innovative procurement strategies to drive efficiencies and cost savings.Collaborate with cross-functional teams to ensure alignment and integration of procurement processes with other business functions.

Qualifications:
Bachelor's degree in business administration, supply chain management, or a related field.Proven experience (4 -5 years) in a purchasing or procurement role, preferably in the landscaping or related industry.Strong knowledge of procurement principles, practices, and vendor management.Demonstrated experience in negotiating contracts and securing favorable terms.Excellent analytical and problem-solving skills, with a strong attention to detail.Proficiency in using procurement software, inventory management systems, and MS Office applications.Strong communication and interpersonal skills, with the ability to collaborate effectively with internal stakeholders and suppliers.Strong organizational and time management skills, with the ability to manage multiple priorities and meet deadlines.Knowledge of landscaping materials, equipment, and industry suppliers is a plus.Professional certifications in procurement or supply chain management are advantageous.
