Executive Administrative Assistant (Finance)



Description

Vitalant is seeking a highly organized, service-oriented Division Administrative Manager to provide day-to-day administrative support to our Division President and senior leaders.

Your impact as a Division Administrative Manager is vital. Support Vitalant's life-saving mission by ensuring leadership is organized, prepared, and supported through expert calendar management, travel coordination, event logistics, and administrative excellence.

Schedule: Monday-Friday, daytime hours, with occasional evenings and weekends based on business needs.

As a Division Administrative Manager, you'll get to:
  • Provide executive-level administrative support to the Division President and Senior Leadership Team
  • Coordinate calendars, meetings, conference room setup, and travel arrangements
  • Organize meetings and events, including meals, logistics, and venue coordination
  • Prepare polished reports, presentations, and spreadsheets for leadership use
  • Maintain Notary Public certification and perform notarial services as needed
  • Coordinate general office support including supplies, equipment service, and vendor interaction

Requirements

  • Bachelors Degree or equivalent in experience required
  • Five years related experience required
  • Three years supervisor experience required
  • Excellent communications, interpersonal and organizational skills required
