Sr Medical Education Prog Spec (Finance)



A Sr. Medical Education Program Specialist performs specialized administrative work in support of medical residencies or medical clerkship programs within a College of Medicine department at USF Health. The position analyzes and reports data on behalf of the multiple medical education programs and serves as a liaison with affiliated community sites. This position provides administrative coordination for assigned graduate and post-graduate medical education programs, serving as a point of contact to students, prospective students, and faculty on matters related to course management and enrollment, program requirements, policies and procedures, scheduling and rotation issues, and other administrative matters.

This position typically reports to a department chair, a medical education director, or other appropriate administrator within the department. A Sr. Medical Education Program Specialist works under general direction and is responsible for developing and administering schedules for student practicum, training, and tutorials, and for resident/clerkship rotations, as appropriate.

This position coordinates intake and administration of residents/fellows, and as appropriate, participates in program and curriculum development. This position serves as the primary liaison between the students, course directors, and physicians in resolving problems, scheduling issues, and other student-related matters. This position also serves as a liaison with affiliated clerkship/residency community sites, and has substantial contact with numerous offices at USF Health (Office of Clinical Affairs, Educational Affairs, Student Affairs - Registrar and Admissions, Graduate Medical Education) in order to manage activities.

To fulfill job requirements, employees assigned to this class must be able to do inquiries, queries and standard reports from GEMS, MD BANNER, Access or Excel; and produce documents using word processing and spreadsheet software.This position requires a high school diploma or equivalent, with 4 years of administrative experience. At least one year of experience must involve administrative or program support duties in an academic department or college. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the general experience. This educational substitution does not apply to required year of experience in an academic program.

FLSB1310 Equivalency:
4 years of directly relevant experience may be substituted for bachelor's degree.
6 years of directly relevant experience may be substituted for master's degree.

  • Develops, assembles, and distributes curriculum information and associated materials to faculty and students rotating through clerkship/residency programs.
  • Works closely with the clerkship/residency program director to establish, implement, and maintain program policies, procedures, and handbooks.
  • Monitors and organizes student/resident progress through the rotations to ensure educational objectives are being met. Initiates action where necessary to maintain academic standards of the clerkship/residency.
  • Coordinates with students/residents and faculty in adjusting and modifying individual schedules. Serves as liaison between students and faculty on a range of academic, administrative and personal issues.
  • Serves as a liaison with clerkship/residency community sites. Assists faculty in assessing appropriate educational environments.
  • Advises students on curriculum, testing and associated requirements.
  • Coordinates, administers, proctors and grades student/resident testing, including National Board Exams.
  • Develops and maintains databases and spreadsheets to track students through program; compiles and analyzes statistical and operational data; develops reports as requested.
  • Screens and responds to daily correspondence regarding clerkship/residency program.
  • Plans and coordinates various events, such as orientation, receptions, in-service examinations, research day, match day, graduation. Manages logistics including location, room set up, A/V needs, ordering food, program planning, etc.
  • Organizes and posts curriculum-related materials to Blackboard, including rotation schedules, preceptor assignments, professor presentations, weekly quizzes, multidisciplinary teaching conferences, clinical skills assessments, and handouts.
  • Maintains and updates confidential files and records, ensuring that ethical and legal guidelines and maintained.
  • May serve as liaison regarding resident leave, pay source, benefits, health and life insurance, medical licensure applications.
  • Facilitate volunteer and courtesy faculty appointments for new clinical preceptors.
  • Performs other administrative duties as assigned in support of the academic mission of the department.
