Position Overview

The purchasing specialist is responsible for creating purchase orders, procuring materials and items, optimizing purchase processes, utilizing technology to drive efficiency and coordinate with management and employees to order supplies and materials as needed. This employee will also work closely with category managers and purchasing managers to source alternate suppliers, manage vendor relationships, and provide analytical support.

Key Responsibilities (Essential Duties and Functions)

  • Execute timely and accurate purchasing of approved goods and services, ensuring alignment with operational needs and budgetary guidelines.
  • Collaborate with internal stakeholders to clarify specifications, identify sourcing alternatives, and promote standardization across procurement activities.
  • Partner with the Sourcing and Equipment teams to ensure product and service details-such as pricing, availability, and part numbers-are accurate and up to date.
  • Manage supplier communications to coordinate deliveries, resolve discrepancies, and maintain service continuity.
  • Support inventory optimization by coordinating monthly ordering cycles and collaborating with the Equipment Department to align stock levels with demand.
  • Draft and process purchase orders ensuring compliance with internal controls and documentation standards.
  • Track and reconcile packing slips, invoices, and delivery confirmations to support timely payment and accurate recordkeeping.
  • Proactively identify and resolve order issues, including delays, substitutions, or cancellations, in coordination with suppliers and internal teams.
  • Monitor procurement reports to identify missing invoices, redundant orders, or opportunities for process improvement.
  • Provide responsive support during business hours and as needed, during evenings or weekends to ensure continuity of critical operations.
  • Contribute to cross-functional initiatives aimed at improving procurement efficiency, supplier performance, and cost savings.
  • Other duties assigned.

Education/Experience

  • Bachelor's degree from accredited college or university in related degree field preferred; or 3-4 years related experience; or a combination of education, training, and experience.
  • Experience in purchasing, procurement operations, or supply chain support preferred.

Work Requirements

  • Must be 18 years of age or older.
  • Must pass pre-employment drug screen and criminal background check.
  • Must have strict adherence to safety requirements and procedures as outlined in the Employee Handbook.
  • A valid driver's license preferred.
  • Regular, on-time, and consistent attendance is required.

Knowledge/Skill Requirements

  • Must be proficient in Microsoft suite of tools including Excel, Word and Outlook, and database software.
  • Must be comfortable using multiple programs at once while maintaining solid attention to detail
  • Demonstrate basic mathematical skills as well as the ability to interpret financial data and information. Strong analytical and problem-solving skills.
  • Willingness and ability to work in and adapt to changes in circumstances, tasks, customer needs and other conditions that may affect their daily responsibilities.
  • Ability to cope well in stressful environments and communicate professionally.
  • Ability to think strategically and interact with all levels of the organization
  • Willingness to work independently within a team environment and assist the team with other duties as required.
  • Must display a professional and courteous attitude to co-workers, supervisors, and the general public.
  • Effective interpersonal and communication skills; building rapport, listening, presenting, giving, and receiving feedback. Excellent communication skills both oral and written.
