Psychology Support Specialist (Education)

Qualifications:

Bachelors degree in Psychology, Behavioral Science, or a related field required; Masters preferred with experience in behavioral health, clinical psychology, or administrative coordination preferred. Successful completion of the 40 hour RBT course. Strong organizational and time management skills, excellent written and verbal communication abilities, detail-oriented with a focus on compliance and documentation. Proficiency in Excel/Google Sheets and other tracking tools.
Scope of Work:
The Psychology Support Specialist is responsible to the participants in all CSS services to ensure the smooth delivery of psychological and behavioral services by providing administrative oversight and operational support to the psychology department.
Job Summary:
The Psychology Support Specialist will provide administrative oversight and operational support to ensure the smooth delivery of psychological and behavioral services. This role involves monitoring documentation compliance, supporting staff coordination, maintaining critical tracking systems, and facilitating communication within the psychology team. The Psychology Support Specialist will work closely with psychologists, supervisors, and administrative staff to uphold standards of care, compliance, and efficiency.
Responsibilities Include:
Documentation & Compliance Tracking

Monitor the timely submission of session notes (within 24 hours); follow up on delays.

Identify and escalate any critical documentation issues.

Ensure all clients on caseloads are seen monthly.

Track utilization rates and identify trends or concerns.

Maintain updated tracking of functional assessments, TY updates, and billing.

Monitor interrater reliability checks with supervisors and follow up when needed.

Administrative Support

Ensure timesheets are completed accurately and on time.

Update reliability forms as behavior plans are revised and organize relevant folders.

Support coordination of staff presentations and training.

Assist in maintaining and updating caseload and billing spreadsheets.

Review staff schedules to ensure appropriate client coverage.

Psychology Department Support

Review and upload psychological write-ups, consult notes, and ABC data (confirm with supervisor if psychology approval is needed).

Take meeting minutes during psychology team meetings and distribute summaries.

Nursing Department Support

Review and maintain tracking procedures regarding presented behavioral updates to be reviewed during monthly psychiatry clinics

Assist in obtaining accurate frequency data to be reviewed during medication reviews.

(i.e. sleep data, incident trends, etc)

Interdepartmental support between nursing staff and psychology staff to facilitate prompt communication and care.

The Psychology Support Specialist reports to the Director of Community Health and the Director of Psychology.
